Specific Responsibilities
Executive Assistant
  • Manage the day-to-day calendar and activities of the CEO
  • Assist the CEO with various administrative tasks such as planning travel, scheduling meetings, taking minutes, updating contacts, etc.
  • Answer the main Step Up phone line and respond to email inquiries
  • Communicate regularly via phone, letter and email with program participants, donors and potential sponsors
  • Create and maintain files and organizational systems for the office
  • Assist with disseminating direct mail to Step Up members and supporters
  • Manage bank deposits and credit card transactions
  • Troubleshoot IT and equipment issues as necessary
  • Go on out-of-office errands, as necessary
  • Special projects as needed
Public Relations Assistant
  • Assist the marketing and communications director with updating press kits, media research and social media outreach
  • Research and help develop outreach plan for awards, speaking engagements & exhibitions appropriate for Step Up leadership
  • Assist with/manage internal communications including e-blasts, updates to website and updates to prospectus' & marketing materials; create new prospectus' & marketing materials as needed
  • Manage graphic design, printing & other vendor relationships for marketing or event-related needs
  • Assist with pitching local and national media Step Up program-related stories
  • Assist with pitching local and national media 'expert' placement of Step Up leadership
  • Assist with writing and executing national monthly e-newsletter
  • Implement and serve as editor of Step Up's national blog
  • Assist with/manage Step Up's social media presence including Facebook, Twitter, Instagram, Pinterest, LinkedIn and YouTube
Database Administrator
  • Manage the administrative needs of the national and Los Angeles office, and remotely assist Chicago and New York offices
  • Regularly update database and intra-office documents for smooth communication between all Step Up cities
  • Serve as main administrator of Step Up's Customer Relationship Management System (Salesforce or modified Treehouse)
  • Manage requests for CRM reports, systems additions or modifications from all offices
  • Track and enter all membership and other income for all offices
Qualifications

  • Is a self-starter, a fast learner, does not require heavy supervision and copes well with change (i.e., is flexible)
  • Proficient in Microsoft Word, Excel and Outlook
  • Demonstrates impeccable organization skills
  • Demonstrates strong writing skills
  • Can multi-task among competing priorities
  • Can keep up in a fast-paced environment with changing demands
  • Is interested in women's issues, cares about our cause and is interested in working in a non-profit environment
Reporting Relationship
This position will directly report to the CEO.
Hours
The ideal candidate is seeking a 40-hour workweek and is available from 9:00 a.m.-6:00 p.m., with a flexible schedule that allows for some evening and weekend work.
