Job description

JOB SUMMARY
The Program Associate for Grants Operations supports the Program Team for Latin America and Caribbean in implementing their grantmaking programs. The Program Associate for Grants Operations reports to and is guided by the Program Officer for Grants Operations and is a member of the Operations Team. This position will be responsible for reviewing and coordinating correspondence with organizations that request support from the Global Fund for Women and ensuring that grant payments are successfully made and communicated to grantees in accordance with GFW's policies and procedures.
ESSENTIAL JOB FUNCTIONS
Grant Making
  • Enter and upload incoming grant proposals into database
  • Review proposals as assigned by Regional Program Director and/or Program Officer
  • Communicate with current and potential grant recipients, including responding to inquiries and sending application acknowledgement and decline letters
  • Communicate, as needed, with Global Fund Advisors for additional information on potential grant recipients
  • Draft written summaries of the groups' purposes and activities
  • Translate and/or coordinate the translation of grant-making materials and other program-related materials such as non-English portions of the website
  • File in database correspondence from groups, including photos, reports and other grant-making documents
  • Support the compilation of grants docket, including: preparing analysis of prospective groups, and researching specific topics related to the region
  • Prepare summaries of final reports for grants awarded
Grants Administration
  • Finalize and send contract documents in preparation for payment of awarded grants
  • Correspond with grantees throughout the payment process to retrieve information and resolve payment issues
  • Ensure operational due diligence (NGO registration) in preparation for grant payment
  • Finalize payment letters and send to grantees
  • Help to maintain accurate information in the database in preparation for the annual audit
  • Facilitate the payment and receipt of grant funds in a timely manner, including tracking pending payments
  • Supply all back-up documentation to the Finance sub-team
  • Assure compliance with Global Fund for Women's grantmaking policies and procedures
Monitoring
  • Input select data during application and grantee final reporting processes, in support of Learning, Monitoring & Evaluation team
  • Support the Program Team in collection of reporting from grantees
Outreach/Communications
  • Support the collection of region-specific information for various requests;
  • Support the dissemination of region-specific information on women's human rights
  • Represent the organization/regional team in conferences and other forums
ORGANIZATIONAL RELATIONSHIPS
Internal Relationships
This position reports to the Program Officer for Grants Operations and has daily working relationships with the Program Team and other staff.
External Relationship
Contact with outside grantees, vendors, advisors, consultants, and the general public.
KNOWLEDGE, SKILLS, AND ABILITIES
Required
  • Fluency in oral and written Spanish required
  • Knowledge of women's rights
  • Knowledge of global economic, political, social and cultural trends
  • Good working knowledge of global geography
  • Strong attention to detail, organizational skills and ability to multi-task
  • Strong oral and written communication skills
  • Demonstrate sensitivity and appreciation for diverse viewpoints and different communication styles in a politically and culturally diverse environment.
  • Ability to work in a diverse, fast-paced environment, exhibiting flexibility
  • Strong interpersonal skills with the ability to develop solid working relationships
  • Ability to work independently and as part of a team
  • Strong skills in a Macintosh and/or PC environment, and in using MS Office and database programs
Preferred
  • Knowledge of Latin American and Caribbean through academic studies, or working or living experience
  • Additional oral and written proficiency in Portuguese
  • Familiarity with the international non-profit sector
  • A working knowledge of grants administration and an understanding of financial information
EDUCATION AND EXPERIENCE
  • Bachelor's degree in a Social Science field or equivalent
  • Minimum one year full-time work experience
  • General exposure to the non-profit sector
  • Experience in working in a diverse, team-oriented, and fast-paced environment
START DATE AND COMPENSATION
The projected start date for this position will be May 2014. The Program Associate, Grants Operations is a 32 to 40 hours a week, non-exempt position. Salary will be commensurate with experience.
